Position Summary:

The Executive Secretary is responsible for providing support to ensure that work is organized, on track and moving forward. The Executive Secretary reports directly to the Managing Director (MD). In addition, the Executive Secretary shall act as the Board of Directors Secretary.

Key Functions and Responsibilities:

=======>General:

1- Provide administrative and secretarial support to the MD including scheduling meetings and appointments, managing calendar, managing incoming calls, proofreading documents, maintaining files, and preparing travel arrangements.
2- Proactively manage the daily needs of the MD to ensure preparation and effectiveness.
3- Attend meetings to take detailed notes and create action items for the MD.
4- Assist in the preparation of presentations, talking points, and meeting agendas.
5- Ensure that the MD is informed ahead of time of scheduled commitments.
6- Print, copy, scan and mail documents.
7- Research and recommend appropriate conferences and events for the MD to attend.
8- Create a welcoming atmosphere for office guests and attend to their needs.
9- Prepare and complete special projects as assigned and follow up with direct reports as requested.
10- Coordinate miscellaneous personal duties as requested.

=======> Board of Directors:

1- Serve as the Board of Directors’ secretary, liaise with the Board of Directors and the MoC and other relevant government bodies and ensure that an up-to-date copy of the bylaws is available at all meetings.
2- Ensure compliance with laws and articles of association.
3- Assist in the preparation of meeting agendas and follow-up on actions items.
4- Ensure that accurate meeting minutes of the board meetings are documented both in Arabic and English and distribute meeting minutes shortly after each meeting.
5- Compile and provide periodic updates to all board members before board meetings.
6- Establish templates for Board of Directors related activities.
7- Ensure effective management of the board records.

Qualifications and Requirements:

Education:
Bachelor/MBA Degree in Business Administration or related field.

Experience:
7+ years of progressive experience as an Executive Secretary.
5+ years of progressive experience as Board of Directors Secretary.

Knowledge:
Excellent knowledge of corporate governance and Saudi business law

Skills:
Proficient in Microsoft Excel, Word, Outlook and PowerPoint.
Time management skills and strong organizational skills.

Abilities:
Effective written and oral communication in Arabic and English.
Attention to detail.
Ability to juggle multiple responsibilities.

Candidates should be Arab National.
