Document Controller is required on an immediate basis. Who is locally available in Saudi Arabia and has a transferable iqama. Expert in English & Arabic. Package / Offer will be depend on the candidate's profile and will be discuss in an interview.
(a) Main Responsibilities:
• Administer and control required documentation within the selected document management system of the company according to standard operating procedures.
• Maintain Specification/Procedural/Form administration within the Quality Management System of the business
• Maintain control of electronic and hard-copy documents pertaining to business activities that achieves compliant and up-to-date documentation system
• Provide administrative support for team activities to achieve objectives and key performance indicators
• Actively participate in the development of strategies for continuous improvement processes to the current document management system
• Ensure all documentation records are correctly filed and stored as per archive procedures
• Ensure all documentation referencing is consistent with internal and external procedural requirements
• Effectively communicate at all times with Quality, Technical, Operations and other personnel (as required) for any/all amendments or updates, including distribution of documents to appropriate stakeholders
• Work in conjunction with training facilitators/providers to ensure all amendments to policies, procedures and standard documentation are captured accordingly
• Maintain a complete register of all procedures and associated documentation as a master file copy for system continual improvement and compliance
• Ensure compliant document approval system to maintain document integrity at all times
• Assist in development and maintenance of QMS, Health and Safety & Food Safety Plan – QMS and OHSAS documentation
• Contribute to the maintenance, continual improvement and refinement of the Company Quality System, associated procedures and documentation
• Actively participate in Work Group, Consultative Committee, Safety and other meetings as appropriate
• Perform other duties as specified by the Quality Management Systems Manager
• Assists the QA/QC Head in developing policies and procedures for the quality department.
• Assists department/division in formatting, processing, revising policies and procedures as per ISO standard.
• File and maintain the all reports and records of HSEQ as per the archive system.
• Report to QA/QC Head regarding the status of implemented new policies and procedures (Quantitative and Qualitative).
• Gather, archive, verify and consolidate reports, training records, audits and submit to QA/QC Head as required.
• Create tracking system for proper and organized documentation.
(b)Others
• Provide Document administration support to all department /employees
• Assist as requested in any other related works, projects or special assignment from time to time.
• Keep good communication with all staff at every level and ensure a polite and good attitude is displayed at all times.
6. Responsibilities and Accountabilities:
(a) Primary: (policy making, sanctioning, mobilizing, determining, maximizing,
accounting, following, acquiring, averting, executing, improving, value adding, acquiring, resolving, reviewing, abiding, coordinating, supporting, etc.)
• Supporting and abiding the approved & developed policies and procedures whether in compliance with the company’s set of standards and procedures
• Abiding and helps in improving the running system for the department.
• Determining and coordinating to the QA/QC Head the unnecessary issues for the Department.
(b) Secondary: (checking, controlling, evaluating, directing, guiding, participating, monitoring, anticipating, utilising, assisting, advising, helping, meeting, interpreting, feed backing, organizing, delegating, motivating, training etc.)
• Helping in monitoring and auditing QA/QC personnel’s whether in compliance with the departments set of standards and procedures.
• Directing to the QA/QC Head the unnecessary issues for the Department as they may arise.
